This Gear Deposit Policy and Contract outlines the terms and conditions under which the Comox Valley Raiders loans out football gear to its players. By signing this contract, the player and their guardian agree to comply with the terms set forth below.
The club will provide the following gear to each player:
- Helmet ($500)
- Shoulder pads ($350)
- Practice jersey ($60)
- Game jersey* ($120)
- Pants with pads ($120)
*Some teams will be able to keep their personalized game jerseys at the end of the season, the club will indicate which teams this applies to at the beginning of the season.
A gear deposit of $800 is required for each set of gear loaned. The deposit form must be completed before the gear is issued to the player – players will NOT be provided with gear until this step has been completed.
Our volunteer gear crew dedicates many hours to overseeing our inventory and ensuring that all gear is properly fitted and cared for, and to ensure greater care is taken with club gear and volunteer time, the club will collect a refundable deposit in addition to a future promise to pay. The gear deposit includes:
- $700 deposit promised by way of a preauthorized credit card charge for Dec 31st of that calendar year. This amount will not be charged to your credit card; however, we retain the right to collect these funds should the gear not be returned.
- **NEW** $100 refundable deposit paid when the deposit form is completed and to be refunded only if gear is returned both clean and by a specified date.
All gear is loaned in good condition. Players and guardians are responsible for maintaining the gear in the same condition, aside from normal wear and tear.
All gear must be returned at the end of the season. The gear should be cleaned and in good condition. Failure to return the gear by the specified date or returning it unclean will result in forfeiture of the deposit.
The $700 deposit will be cancelled upon the return of all gear in good condition and by the specified date and will not be collected by the club. If any gear is missing, damaged (beyond normal wear and tear), or not returned clean, the cost of replacement, repair, or cleaning will be deducted from the deposit. If the cost exceeds the deposit, the player and guardian will be responsible for the additional amount.
The $100 deposit already received will be refunded at the end of the season only if both of the following criteria are met:
- Gear is returned to the club during one of the pre-scheduled gear return evenings at the end of the season. The club will provide advance notice of at least two possible gear return dates to allow you to plan to attend these dates or for you to make arrangements to return your gear with another person if these dates do not work for you. Should gear not be returned during one of these events and the volunteer gear crew are forced to make alternative arrangements to secure the return of gear, the $100 will be retained by the club
- Gear must be returned clean. There should be a good effort made to return the gear free of mud, stains and in the condition that it was loaned out. Gear that requires additional laundering or cleaning by our volunteer gear team will result in the $100 being retained by the club.
The club is not responsible for any injuries or accidents that occur while using the loaned gear. It is the responsibility of the player and guardian to ensure the gear is used safely and appropriately.

By completing the Gear Deposit Form, the player and guardian acknowledge that they have read, understood, and agree to the terms of this Gear Deposit Policy and Contract.
