This policy outlines the terms under which Comox Valley Raiders loans football gear to players. By signing, players and guardians agree to these terms.
The club will provide the following gear to each player:
- Helmet ($500)
- Shoulder pads ($350)
- Practice jersey ($60)
- Game jersey* ($120)
- Pants with pads ($120)
*Some teams will be able to keep their personalized game jerseys at the end of the season, the club will indicate which teams this applies to at the beginning of the season.
To help protect club resources and ensure gear is returned in good condition:
- $100 Deposit – Due Today
- Paid when the deposit form is completed.
- Refundable only if gear is returned clean and on time during the end of season gear returns.
- $700 Deposit – Preauthorized for Dec 31
- Not charged today.
- Held as a credit card preauthorization.
- Charged only if gear is not returned on time, or is returned damaged.
Players will not receive gear until the $100 deposit is paid and the deposit form is complete.
All gear is loaned in good condition. Players and guardians are responsible for maintaining the gear in the same condition, aside from normal wear and tear.
All gear must be:
- Returned clean and in good condition
- Returned by the end-of-season deadline, during designated gear return events
Failure to meet these conditions can result in:
- Loss of the $100 deposit
- Charge of the $700 deposit
The $700 deposit will be cancelled upon the return of all gear in good condition and by the specified date and will not be collected by the club. If any gear is missing, damaged (beyond normal wear and tear), or not returned clean, the cost of replacement, repair, or cleaning will be deducted from the deposit. If the cost exceeds the deposit, the player and guardian will be responsible for the additional amount.
You will get your $100 refund only if BOTH of the following apply:
- Gear is returned during one of the scheduled gear return events.
- Gear is returned clean, without excess dirt or stains.
If you miss the scheduled return dates or return unclean gear, the club will retain the $100 deposit.
The club is not responsible for any injuries or accidents that occur while using the loaned gear. It is the responsibility of the player and guardian to ensure the gear is used safely and appropriately.
By completing the Gear Deposit Form, the player and guardian acknowledge that they have read, understood, and agree to the terms of this Gear Deposit Policy and Contract.
The success of our youth football and cheerleading program relies on the support and involvement of our parents and guardians. This Volunteer Policy outlines the expectations for parental involvement to ensure a positive experience for all participants.
Each family with a child enrolled in the club is required to fulfill a minimum of three (3) volunteer shifts during the season. This policy is designed to distribute responsibilities fairly and ensure the program’s smooth operation.
Parents and guardians may fulfill their volunteer requirements through the following opportunities, including but not limited to:
- Game Day Support:
- Field setup and takedown
- Chain crew
- Scorekeeper (Peewee only)
- Commissioner (JB – Midget only)
- Play counter (JB only)
- Photographer
- Film (JB – Midget only)
- Assisting with concession
- Game Day 50-50 sales
- Team Support – coaches, team managers, first aid attendants
Procedure:
- Sign-Up Process:
- A volunteer sign-up will be available in TeamSnap once the game schedule has been released.
- Parents must select their preferred shifts and confirm availability. These shifts will be available on a first come, first served basis.
- Tracking Participation:
- The team manager and club secretary will maintain a record of completed volunteer shifts.
- Families will receive reminders about remaining volunteer commitments throughout the season.
- Unfulfilled Volunteer Commitments:
- Families who do not meet the minimum requirement of three shifts will be subject to a $100 non-participation fee per unfulfilled shift.
- Fees collected will be reinvested into the program to support operations.
Exemptions: Families with special circumstances may request an exemption or alternative arrangements by submitting a written request to the club board for review.
By enrolling their child in the program, parents and guardians agree to comply with this Volunteer Policy and actively support the success of the youth football and cheerleading club.
