*The first two training sessions will be an evaluation based assessment.  The results of the assessment will determine placement in Academy Training.

I agree to grant to Sudbury Cyclones Soccer Club and its authorized representatives (ex. Sudbury Wolves Sports Entertainment) permission to record on photography film and/or video, pictures of my participation, this includes electronic images and media as well. I further agree that any or all of the material photographed may be used, in any form, as part of any future publications, brochure, or other printed materials and electronic media used to promote the Sudbury Cyclones and its partners, and further that such use shall be without payment of fees, royalties, special credit or other compensation.
In consideration of being allowed to participate in any way in the Sudbury Cyclones Camp/Academy with the Cyclones and the SWSE, related events and activities, the undersigned acknowledges, appreciates, and agrees that; #1. The risk of injury from the activities involved in this program is significant, including the potential for serious injury and/or permanent paralysis and/or death and/or property damage, and in participation includes possible exposure to infectious diseases including but not limited to COVID-19, and while particular rules, equipment and personal discipline may reduce this risk, the risk of serious injury does exist; and, #2. I AM FULLY AWARE OF ALL SUCH RISKS AND HAZARDS, inherent to attendance at the Sudbury Cyclones Camp/Academy and participation in activities, and I VOLUNTARILY, KNOWINGLY AND FREELY ASSUME all risks, dangers, and hazards to me or the Attendee, including but not limited to illnesses, infectious diseases including but not limited to COVID-19, and the possibility of personal injury, death, property damage associated with participating in the Activities at the Sudbury Cyclones Camp/Academy, INCLUDING THOSE ARISING FROM my own actions or inactions, or the actions or inactions of my minor child/ward; and, #3. I VOLUNTARY, KNOWINGLY AND FREELY ASSUME ALL SUCH RISKS, DANGERS AND HAZARDS to me or the Attendee both known and unknown, EVEN IF THE SAME ARISE FROM THE NEGLIGENCE OR GROSS NEGLIGENCE OF THE RELEASED or others, and assume full responsibility for my participation in the Activities; and, #4. I willingly agree to comply with the stated and customary terms and conditions for participation. If however I observe any unusual significant hazard during my presence or participation, I will remove myself from participation and bring such to the attention of the nearest official immediately; and, #5. I, for myself and on behalf of my heirs, assigns, personal representatives and next of kin, hereby release and hold harmless the Sudbury Cyclones, Sudbury Wolves Sports Entertainment and their officers, officials, agents and/or employees, other participants, sponsoring agencies, sponsors, advertisers, and if applicable, owners and lessors of premises used to conduct the event with respect to any and all injury, disability, death, or loss or damage to person or property, whether arising from the negligence of the releases or otherwise. ** I HAVE HAD SUFFICIENT OPPORTUNITY TO READ THIS ENTIRE DOCUMENT. I HAVE READ AND FULLY UNDERSTOOD IT’S TERMS, AND I AGREE TO BE BOUND BY ITS TERMS.**

Terms and Conditions for Camps and Registrations

By registering for a camp or program offered by SWSE and the Sudbury Cyclones, participants (and their guardians, if applicable) agree to the following terms and conditions:


1. Registration and Payment

  • Registration is only confirmed upon receipt of full payment.
  • All payments must be completed by the specified registration deadline.
  • Late registrations may be subject to additional fees and are subject to space availability.

2. Refund and Cancellation Policy

  • Refunds are subject to the Refund Policy, as outlined on this page.
  • Cancellations initiated by participants may be eligible for a partial refund based on the refund deadlines.
  • Program cancellations by Sudbury Cyclones will result in a full refund.

3. Transfer of Registration

  • Registrations may be transferred to another participant or program upon request, subject to approval and availability.
  • A transfer fee may apply, as detailed in the refund policy.

4. Code of Conduct

Participants are expected to:

  • Behave respectfully toward staff, instructors, and other participants.
  • Follow all program rules and guidelines provided by  the Sudbury Cyclones
  • Refrain from engaging in disruptive, harmful, or unsafe behaviors.

Violation of the code of conduct may result in dismissal from the program without a refund.


5. Medical and Emergency Information

  • Participants must disclose any relevant medical conditions, allergies, or special requirements during registration.
  • In the event of an emergency, the Sudbury Cyclones reserves the right to seek medical treatment for the participant.
  • All costs associated with medical treatment are the responsibility of the participant or their guardian.

6. Liability Waiver

  • By registering, participants and their guardians release the Sudbury Cyclones, its staff, and representatives from liability for any injuries, losses, or damages incurred during the program, except in cases of gross negligence.

7. Use of Photos and Videos

  • SWSE and the Sudbury Cyclones may take photos and videos during the program for promotional purposes.
  • By registering, participants consent to the use of their image in marketing materials, unless they opt out by providing a written request.

8. Weather and Emergency Closures

  • In the event of program cancellations due to weather, natural disasters, or other emergencies, participants will be notified as soon as possible.
  • Refunds or rescheduling options may be provided, depending on the circumstances.

9. Program Modifications

  • The Sudbury Cyclones reserves the right to modify program details, including schedules, locations, or instructors, when necessary.
  • Participants will be informed of any significant changes in advance.

10. Age and Eligibility Requirements

  • All participants must meet the age and eligibility requirements outlined for each program.
  • Registrations for participants who do not meet these requirements may be canceled without a refund.

11. Personal Belongings

  • The Sudbury Cyclones  are not responsible for any lost, stolen, or damaged personal belongings during the program.

12. Agreement to Terms

  • By completing the registration process, participants and/or their guardians acknowledge that they have read, understood, and agreed to these terms and conditions.

Refund Policy for Camps and Registrations

At SWSE and the Sudbury Cyclones, we strive to provide a seamless experience for all our participants. To ensure clarity and fairness, please review our refund policy for camps and registrations below:


Refund Deadlines

  1. Cancellations Made 30+ Days Before the Camp/Program Start Date:
    • Eligible for a 100% refund, minus a 15% administration fee
  2. Cancellations Made 15-29 Days Before the Camp/Program Start Date:
    • Eligible for a 50% refund of the registration fee.
  3. Cancellations Made Less Than 15 Days Before the Camp/Program Start Date:
    • Refunds will not be issued unless due to extenuating circumstances (see below).

Extenuating Circumstances

Refunds may be issued on a case-by-case basis for the following reasons:

  • Medical emergencies with valid documentation.
  • Family emergencies such as bereavement.
  • Other unforeseen events at the discretion of the Sudbury Cyclones and SWSE.

All refund requests due to extenuating circumstances must be submitted in writing to info@sudburycyclones.ca and include supporting documentation.


Non-Refundable Fees

Certain fees are non-refundable, including:

  • Registration processing fees (if applicable).
  • Supply or material fees already incurred.
  • Late registration fees.

Transfer of Registration

  • Registrations may be transferred to another participant or future program (within the same calendar year) upon request, subject to availability and approval.
  • A $25 fee may apply.

Program Cancellations by Sudbury Cyclones

If the camp or program is canceled by the Sudbury Cyclones due to insufficient enrollment, weather, or other unforeseen circumstances:

  • Participants will receive a full refund, including any applicable fees.

How to Request a Refund

To request a refund, please follow these steps:

  1. Email info@sudburycyclones.ca with the following details:
    • Participant’s name.
    • Program name and date.
    • Reason for the refund request.
  2. Refunds will be processed within 14 business days of approval.
